President Job description
Organize agenda, make copies for meeting distribution
Conduct Board and general meetings
Get Theler and other relevant schedule of events
Organize board and general meeting dates and correspond with Theler at beginning
of year to reserve a room.
Sign or verbal contract yearly with Theler/Ann
E-mail all vendors prior to scheduled meeting / snail mail those without E-mail address
Contact all board members when conflict or problems need addressing
Seek council from board members and Trustees
Consider all suggestions
Supervise progress on all committees
Enforce all rules / speak directly to person with respect
Post president sign on canopy
Have copies of Rules and Regulations on hand Saturdays
Have Vendor Applications available on Saturdays
Past President will be a trustee for the next year
Mail out welcome letters to past vendors
Mail out welcome letters to new vendor inquires. Past & new vendor letters are different
and may need updating with different info and dates
Vice President
Same as above when President isn’t available
Conduct meetings when President is unavailable. President will give you info and an agenda
Receive a copy of all vendor applications yearly and make a phone, E-mail, address list
Copy list and provide to elected members
Keep all elected members informed either verbal or written
Monitor Saturday’s activities
Take any questions
Post VP sign on canopy
Secretary
Attend meetings and record minuets
Type minuets and present for approval/corrections at next meeting
Type out a newsletter (condensed version of minuets) for distribution at the next Saturday market for those with out E-mail addresses. E-mail to others
Keep all elected members informed either verbal or written
Monitor Saturday’s activities

Post Secretary sign on canopy
Treasurer
Retrieve mail from PO Box 1649
Make weekly deposits
Keep record of all financial transactions
Keep Treasurer box organized and with you at market each Saturday
Pay necessary bills
Keep track of all archived taxable information. We keep info for 7(?) years
Have record of months activities prepared for meetings, copied for distribution
Have copies of Vendor Applications on hand Saturday
Have copies of Rules and Regulations on hand Saturdays
Trustees
There are 3 trustees on the board
Responsible for the scholarship procedure
Keep all elected members informed either verbal or written
Monitor Saturday’s activities
Take any questions
Help with/head committees
Attend general and elected board meetings

Conducted by an Officer or Trustee
Forward any mail needing to be forwarded
Answer any mail you have authority to answer
Keep all boxes up to date
Save inquires for new vendors or 2 years

Yearly send ‘out opt’ out E-mail.

Arrive early on Saturday
Mark the lines for spaces
Have info (E-mail forwarded) of who will and won’t be there to place current and new

Coffee set up person
Keep track of / and an eye on the scholarship money
Transport coffee supplies to and from market
Make the coffee and heat water
Be sure supplies are purchased (preferably from commissary or Costco)
Table should be wiped off each Saturday
Clean up coffee table at 2:30-2:45
Market Table
Carries the table and market box
Set this up around coffee area
Keep under control if windy
Take down at 2:30-2:45

Talk with North Mason high school counselor, Todd Davis
Contact in spring with offer of scholarship
They have all scholarship applications
We can go through the applications that pertain to agriculture and make our choice
Let the school know
present at the school or however that goes
Market Signs
Collect check from treasurer at end of day Saturday
Signs (currently) consist of 3 red “A” board and 2 cows
Set out sighs by 8:00 Saturday am
Pick up signs by 3:00 Saturday pm
Store signs through the week
A board member will store the signs over the winter unless other arrangements are made
Outhouse trash can
Bring/take home the can weekly
Can should be lined for tossing after market
Market Trash Can
Can is taken out of gated area on Theler grounds and placed in Market entrance
Can should be lined for easy tossing in Theler’s oversized bin after market
Can is emptied and replace in gated area after market
Sunshine Person
Spreads good cheer
Purchases card for any member under the weather or in need of support from Market
family
Card can be handed around the market for ‘group’ well wished or sent with a general
signature
Receipts for purchases can be turned in to Treasurer
Treasurer and President usually will have stamps, just ask
